The sheet by the door
Five columns: who they are, who they are with, when they arrived, when they left, and a signature. That last column is the reason a sign-in sheet exists rather than a list — a signature is a record somebody made themselves.
What it is used for
Visitor books in a reception. Volunteer hours at a shelter or a school fete. A register for a class or a club. A contractor log on a site. The columns are general on purpose, so one sheet serves all of them.
Rows and pages
Ten to thirty rows per page, and up to four pages in one download for a long day. Alternate rows shade so the eye does not slip a line on a wide table.
What goes in each column
- Name — printed, not signed; the signature has its own column and signatures are rarely legible.
- Organisation / group — the company, the school class, the volunteer team. Leave it blank for a domestic visitor book.
- Time in / Time out — the pair is what makes the sheet useful in a fire drill, so ask people to complete the second one on the way out.
- Signature — the column that makes this a record rather than a list.
Printing it
Choose A4 or US Letter before you download and the table is laid out to fit that sheet — column widths are shares of the page, not fixed millimetres, so nothing is cut off at the right-hand edge. Alternate row shading can be turned off if you are photocopying in black and white, where a pale tint sometimes reproduces as a muddy grey. If you need more than one page, set the page count before downloading rather than printing the same PDF twice; the pages are then numbered, which matters the moment two of them get separated.

Can I change the number of rows?
Yes. The slider sets rows per page within a range that keeps every row big enough to write in. You can also print up to four pages in one download.
Can I change the column headings?
Not on this sheet — the columns are fixed so the layout stays even and legible. The title and the header label are yours to edit.
